Minutes of '55 EXCOM Teleconference

The 23 March 2020 teleconference of the USMA Class of '55 Executive Committee (EXCOM) was called to order by President Tom Horst at 2:00 PM EST. All members being present, a quorum was obtained.

REUNION PLANNING: Tom Horst opened the discussion by pointing out that, because of the current worldwide corona virus pandemic, the Classes of 50, 60, 65 and 70 had all postponed their 2020 reunions to various later dates.
Reunion Chair Jim Bergen then pointed out that the Class had contracted with the Thayer Hotel to guarantee a dollar amount of $55,000.00 for food and beverages during the reunion. Because of the virus turmoil, the Thayer Hotel recently took the position that it would waive all terms of our contract if we cancelled or postponed our reunion on 3 April 2020 through the AOG. So, our Class would not be liable for any Thayer charges. Rescheduling the reunion would not be a condition for this waiver. Coincidentally, all Spring Reunions have now been cancelled by AOG.

Bergen also pointed out that should the Class cancel or postpone this May 2020 reunion, all registration deposits made by classmates to date with the AOG would be refunded in full. Also, reunion hats and crest pins have already been ordered for a total cost of $5500.00, but the status of their production is unclear. We would attempt to cancel these orders, but there may or may not be some charge by the vendors. There should be clarification of the order status soon. If already produced, these items will be stored by the AOG gift shop for our future use at our postponed reunion or outright sale. The dollar loss on these memorabilia is uncertain.

A motion to indefinitely postpone the reunion was made, seconded, and passed. This allows the next EXCOM the flexibility to reschedule at some later date when the pandemic is over.

Action: Bergen to notify AOG of this decision.
Action: Horst to draft a letter to the Class to be sent out with the ballots for the next Class officers and final distribution of the Class Gift Fund.

COACHES' HOUSING BOOKS: Since the reunion had been indefinitely postponed, that negated the planned presentation of the books to the Coaches' Housing.
Action: Horst to coordinate with Dave Wheeler, the Project Manager, to develop an appropriate presentation plan.

There being no further business, the teleconference was adjourned at 2:43 PM EST.
