Minutes of '55 EXCOM Teleconference

PARTICIPATING: Pres Tom Horst, VP Jim Bergen, Treas Norm Blahuta, Scribe Jim Ryan, and ISO Jack Campbell.

ORDER OF BUSINESS: The meeting was called to order at 1405 Eastern Time by the President and it was determined there was a quorum present.

The minutes of the 21 March 2018 teleconference were approved as posted on the Class website.

The treasurer's report was presented by Norm Blahuta who noted that the Class finances are in good shape to handle the needs of the Class.

The President, Tom Horst, proceeded to provide updates on a number of Class issues.

Scholarship Fund. He noted that the '55 contribution to the WP Prep School scholarship fund is blended with the contributions of all the other donors and is about $7million. He pointed out that all those taking advantage of the scholarship fund have actually graduated.

Widow Support Program. Dick Baker is now the Committee chairman and Horst noted the coordinators for the five program regions have all been assigned and are listed on the Class website.

Memorial Articles Committee. Horst identified that there are four geographical regions in the memorial articles organization and each has a Director. He identified the Directors and noted that that they are also listed on the Class website. Only about 10 percent of living classmates returned the survey that had been sent out on questioning classmates desires for a memorial article and proposed authors. About 40 percent of those responding wanted no article.
Leaders Conference. Horst attended the conference at West Point and declared it quite worthwhile. He noted that the condition of the Memorial Terrace at the Tennis Center was in good shape and that the AOG will arrange for the annual power wash of the wall to take care of any mildew that might have formed. He also noted that Coaches Housing Area was looking good.

Jim Bergen reported that 22 people are currently signed up for the 2018 Class mini-reunion cruise. Passengers will depart Montreal Canada on 1 Oct 2018 aboard the Seabourn Quest. The travel route includes the St. Lawrence River with ports at Quebec, Saguenay, Gaspe, Charlottetown, and Halifax in Canada. The voyage then goes on to Bar Harbor and finally terminates in Boston on Oct 11.

There was a short discussion on class documents to be archived with the AOG. Horst will get with Ludwig on which papers to file with AOG and agreed the number of items should be limited.

Following a discussion, the EXCOM decided that the Class Constitution provisions are adequate in the event an EXCOM member should need to be replaced between elections. No additional guidance is needed.

Additional discussions were conducted concerning Class funds. It was agreed that Class admin funds need not be turned over to the AOG, per the Class Constitution, until sometime in the future (7-10 years). The EXCOM decided that the Class Gift fund of approximately $150,000 would be used for a specific gift that will be voted on by the Class in conjunction with the 65th reunion.

A draft set of proposed guidelines for the selection of a 'Friend of the Class' was presented to the EXCOM. After review, it was decided to formalize the draft and present it to the Class. A copy is appended to these minutes.

There being no further business, it was moved and seconded that the meeting be adjourned. All present being in favor of adjournment, the meeting was adjourned by the President at 1500 Eastern Time.

Nomination

An ' FOC' must be nominated by a regular class member and have two additional sponsors that are regular class members.

EXCOM Action

The nominee may be submitted to the EXCOM at any time and requires the consent of at least five of the seven voting members of the EXCOM.

Announcement

An approved nominee will be introduced to the class via the Business net and presented with an appropriate certificate signed by the class President .

Privileges

An FOC will be added to the Class on-line Roster (part 2), they will be given access to the class Home Page and the Class Roster. They will be provided with a PWP on the Class website and they may join any of the class nets they so desire. They will be welcome to attend any class activities including reunions, mini reunions, trips, etc.

Restriction

An FOC may not vote nor hold office in the class.

Effective Date

These guidelines are effective as of the date approved by the EXCOM (5 Sep 2018) and apply to all future nominees.
